Zendesk + WooCommerce: auto-create tickets from failed orders

Failed WooCommerce payments and fulfilment errors create support load whether or not your helpdesk knows. Connecting WooCommerce events to Zendesk turns silent revenue leaks into tickets with context—order id, customer, gateway message, and a clear owner.

Which events deserve tickets

  • Payment failed (especially repeat failures on subscriptions).
  • Order status moved to failed or stuck in on-hold beyond SLA.
  • Shipping/fulfilment webhook errors from 3PLs.
  • High-value orders cancelled by fraud rules (for human review).

Do not ticket every abandoned cart—that is marketing automation, not support.

Implementation options

  1. WooCommerce action hooks → custom plugin calling Zendesk Tickets API.
  2. Webhook to middleware (Laravel) that enriches and creates tickets.
  3. Zendesk app / integration if you need agent UI inside Zendesk.

For most EU shops, a small Woo plugin or Laravel worker with retries is enough.

Ticket payload design

  • Subject: [Order 12345] Payment failed — iDEAL
  • Requester: customer email (create-or-update user).
  • Tags: woo, payment_failed, gateway name.
  • Custom fields: order URL (wp-admin), total, currency, payment method.
  • Internal note: raw gateway error (never show card data).

Routing

Use Zendesk triggers: tag payment_failed → Payments group; tag fulfilment_error → Ops. Set priority from order total thresholds.

Deduping

Store zendesk_ticket_id on order meta. On repeated failures for the same order, comment on the existing ticket instead of opening a new one.

GDPR and support hygiene

  • Include only necessary personal data in tickets.
  • Align retention with your support policy.
  • Ensure processors (Zendesk, hosting) appear in your customer-facing privacy info.

Go-live checklist

  • Sandbox Zendesk + staging Woo store.
  • Force a failed payment with a test gateway.
  • Confirm agent sees deep links back to the order.
  • Alert if ticket API error rate exceeds threshold.
